Administrative Support Part-Time Contractual


The successful candidate will greet and orient the visitors in a highly professional manner and will provide general administrative support to Caprion’s different departments.

Main Responsibilities:

  • Answer calls and greet visitors;
  • Manage e-mail and internal / external mail;
  • Order the stationery and manage the inventory;
  • Support all employees by providing the required equipment or by directing them to the appropriate department;
  • Support for catering orders for meetings or special events;
  • Ensure that common areas are clean and welcoming;
  • Assist with travel arrangement;
  • Prepare expense reports;
  • Schedule meetings and take care of the conference rooms reservation;
  • Assist in the coordination of corporate events;
  • Take in charge the company brochures and the inventory of the scientific articles;
  • Maintain the business contact’s database;
  • Maintain the employees phone list up to date;
  • Support the needs of the departments when required;
  • General administrative and clerical support.
  • Reviewing expense report;
  • Reconciliations;
  • Mailing;
  • Filing and archiving;
  • Matching Packing slip to PO;
  • Prepare credit card statements and invoices.

Main Skills Required:

  • Professional or collegial diploma completed in administrative support or in a relevant field;
  • 3 -5 years of experience in a similar role;
  • Proficient knowledge of computers and relevant software applications (Outlook, Word, Excel,);
  • Strong verbal and written communication skills;
  • Bilingual in English and French;
  • Professional personal presentation and must be customer service oriented;
  • Strong organizational and planning skills;
  • Good attention to detail;
  • Takes initiative and can multi-task;
  • Highly reliable;
  • Good tolerance for stress and exercises discretion;
  • Effective team player.
